AuSM Affiliation


Affiliation is the key mechanism for AuSM to help foster and support a network of diverse clubs and societies on AUT's campus. Affiliation legally binds your club with AuSM; giving your club a status of affiliation to an incorporated society.

It allows AuSM to be aware of your intentions, finances, membership etc to protect both itself and the members of the club. Clubs must be affiliated to be eligible for AuSM support and in particular, a grant to help with funding. Also if clubs fail to re-affiliate, access to club funds and equipment will be frozen.

The first test for a club is to have at least ten AUT students as members.

Second, for your club to become and remain affiliated to AuSM it must complete a series of forms each year to ensure it is functioning effectively. These forms make up the Affiliation Package and include your club constitution. Download it here

Furthermore, to ensure that both your club and AuSM are kept up to date and informed of issues and events that may impact upon them, clubs have been assigned a variety of small tasks to ensure they remain affiliated to AuSM. The status of clubs affiliation is reviewed at the start of each academic year and so each club must ensure they fulfil these tasks:

  • Retain regular contact with the AuSM Clubs Officer.
    This will ensure that a friendly, productive relationship is established with AuSM and that your club always has the most up to date information and support available.
  • Attend Club Days.
    It is strongly recommended that you attend the Club Days at Orientation each semester, as it is the best time to recruit members.
  • Publications.
    All Clubs are advised to take advantage of the FREE publications organised by AuSM to better promote your services and activities. Regular articles in debate will mean regular income for your club, as new members are attracted to your club.
  • Complete all required documentation.
    A large part of running a successful club is bookwork. Without proper planning and documentation, a club can lose itself in a mire of confusion very quickly. AuSM requires a number of documents and forms completed so that both our records are maintained and that our knowledge of the workings of your club is both relevant and current. Keeping accurate records is a valuable skill that will carry over into many other areas of your life. This booklet is a great place to start!
  • Attend Club Committee workshops.
    AuSM provide workshops throughout the year for club committee members to improve their skills in specific related areas.
AuSM requires your club to submit certain documents throughout the year to the AuSM Clubs Officer:

  1. Treasurer's report for each semester
  2. Minutes of meetings held each semester (at least 3 each semester)
  3. Membership register after each clubs day.
